Connecticut College is conducting a regional search for a highly organized and energetic individual to join our Alumni and Parent Engagement Department.  The Office of Alumni and Parent Engagement (APE) Coordinator supports all programs, communications, and initiatives pertaining to Connecticut College alumni and families. This role will support the Director of Alumni and Parent Engagement with all confidential correspondences, meeting agendas, and communications within the Alumni Association Board of Directors and the Parent & Family Council. This role will support all volunteer-led engagement including, but not limited to, Alumni Board Committee initiatives, parent engagement opportunity, and oversight of related communications. They are responsible for responding to all alumni and parent inquiries and will serve as a steward to the department.

 

The APE Coordinator is a critical role on this team and is responsible for streamlining and overseeing day-to-day operations and communications. Beyond managing our administrative processes and budget management, this role will support all on-campus and regional events sponsored by the Office of Alumni and Parent Engagement. They will be our brand ambassador promotional materials coordinator, and will collaborate with various departments on campus to ensure the success of all events and initiatives. Ultimately, this position supports the mission of the Office of Alumni and Engagement by promoting lifelong relationships among current and future alumni and fostering active and enduring engagement with Connecticut College. Compensation includes and excellend benefits package.

Administrative Process

  • Serve as Office of Alumni & Parent Engagement expert on Advancement CRM Database (Salesforce) and other software needed by division staff
    • Extract reports, update database, distribute reports, manage Salesforce calendars, etc.
  • Assist alumni, students, parents and constituents of the College with all general inquiries. 
  • Open, distribute, and file mail/correspondence
  • Update and monitor alumni website and make changes as needed

Budget Management

  • File all invoices appropriately, oversee payments for all events and vendors, and manage payment gateway
  • Reconcile budget monthly
  • Reconcile Alumni & Parent Engagement transactions

Volunteer Management

  • Connecticut College Alumni Association Board of Directors and the Parent & Family Council
    • Attend all meetings. Prepare & distribute confidential minutes
    • Manage digital volunteer portal by curating all Board/Council materials, overseeing trainings, developing agendas, and preparing documents/resources
    • Reserve on-campus spaces and catering for Board/Council meetings
    • Secure hotel accommodations
    • Execute surveys after Board/Council meetings
  • File volunteer contract reports, assigned volunteer role data entries, APE officer interactions, special mailings/outreach
  • Support APE Director & the 50th Reunion Class by managing Koiné Gold projects.
  • Oversee on-campus training of students to scan and format Koiné Gold photos. Serve as on-campus support for projects that cannot be done remotely 

Events & Marketing Coordinator

  • Support Alumni & Parent Engagement events by:
    • Finalizing lists for invitations, overseeing mailing, tracking RSVPs and correspondence
    • Prepare event materials including name tags, check-in sheets, supplies, and reports
  • Oversee all promotional materials for the Office of Alumni & Parent Engagement
    • Work with the Office of Communications to finalize all designs/promotions
    • Order, organize, and oversee swag inventory
  • Collaborate with various divisions to plan and execute on-campus and regional campaign events. This will require in-person support at a handful of on-campus and regional events throughout the year.

On-Campus Partnerships

  • Work with on-campus partners to reserve catering and spaces for events and programs
  • Partner with the Offices of Human Resources and Financial Aid to coordinate student employment including academic-year student workers and Reunion student workers. 
  • High School Diploma required with 5 - 7 years of office experience; some college preferred.
  • Strong written and verbal communication skills
  • Knowledge of Banner or other data management software preferred
  • Ability to interact well with a variety of people from all aspects of the college and community
  • Must be highly proficient in all Microsoft Office products, in particular, Excel and Gmail
  • High integrity needed to handle confidential information
  • Knowledge of general office equipment
  • Strong attention to detail
  • Ability to work a flexible schedule to support special programs such as reunion/fall weekend. May include evening and weekends
  • Well-organized, able to work under pressure, meet deadlines, and plan and accomplish goals
